The ultimate guide to planning a stunning brand photoshoot

Planning a photoshoot can be an exhilarating experience, especially when you have a clear roadmap to guide you through each step. Whether you're preparing for a professional shoot, a special occasion, or simply capturing memorable moments, following these essential steps will ensure a seamless and successful outcome.

I've been inspired by Vilandaboom's work with giant helium bundles. When Sarah, the model, shared her vision for her 40th birthday shoot, I knew the bobo balloons would be perfect. We decided on 40, 36" clear balloons. Preparing them was time-consuming, and we lost quite a few during inflation. On the day of the shoot, it rained exactly at the scheduled time, so we waited in our vehicles for an hour.

Finally, the rain stopped, but the strong wind caused us to lose half the balloons. I saw the panic on Sarah's face but quickly inflated more balloons. By the time I was done, the wind had died down, and the sky was gorgeous. The shoot started, and although the horses were afraid of the balloons, making shots with them impossible, the day turned out beautifully. Despite the challenges, it was all worth it.

Book a Date:

The first step in planning any photoshoot is to choose a date that works for everyone involved; you, the photographer, hair and make-up team, venue and any other necessary personnel.

Consider factors such as weather conditions, availability of locations, and the schedules of key participants.

If your photoshoot is outdoors, setting a rain date is very helpful. This is usually the next day so the balloons don’t go to waste.

Design Installations:

Your photoshoots are a great way to showcase your work as well as try those wild, unique and fun ideas and installations that you’d love to book.Keep in mind, people book what they see.

Most of our clients are visual people and don’t understand the versatility of balloons. It’s our job to guide them and help them visualize the endless possibilities of installations with balloons.

Book/Choose a Location:

The location sets the stage for your photoshoot and can significantly impact the mood and aesthetic of your images.

Indoor locations are usually great for large scale installations esp. If you don't have a team, you can rent the space for a day, install in the AM and then shoot later in the afternoon. Some places will even allow you to install the day before.

For outdoor photoshoots, choose something mobile, so you can move around and change locations. Helium bundles are a great option.

I know, I know, helium is expensive.. But a photoshoot is an investment in your business. Remember.. You want eye-catching graphics and visuals on your website and social media that demand attention.

Pick Dresses:

Wear and dress in what resonates the most with you but keep in mind, you also want something that commands attention. Choose outfits that not only complement your theme but also flatter you and enhance the overall visual impact of the images. Aim to add 2-3 looks for your photoshoot.

Book Hair and Makeup:

Professional hair and makeup services can elevate your looks and ensure you appear polished and camera-ready. Schedule appointments with experienced stylists who understand your vision and can execute the desired aesthetic flawlessly.

Preparation:

Plan your photoshoot; create a vision board with poses, props, etc. so your photographer has a clear vision of what you’re looking for and how to deliver.

Inflate/Prep at least 2-3 Days before Your Photoshoot. Don't leave balloon inflation or any other last-minute preparations to the day of the shoot.This allows ample time for any last-minute adjustments and ensures that your balloon decor is fresh, vibrant, and ready to impress when the cameras start rolling.

Ready, Set, Shoot:

With all the pieces in place, it's time to bring your vision to life. Coordinate with your team, communicate your expectations clearly, and allow creativity to flow as you capture stunning images that reflect your theme and exceed your expectations.

Take tons of content, behind the scenes, prep work. You can use one photoshoot worth of content for months so strategic planning is key!
